Event registrations
Players sign up for an event on its form. Each sign-up becomes a registration with a status, the event keeps its number of places with a waiting list, and game masters can approve sign-ups first.
Take sign-ups for an event
- Make a sign-up form in Nextcloud Forms and link it to the event on the event's Sign-up panel.
- On the event, fill in Sign-up form with the number of that form (the number in the form's address).
- Optional: fill in Places to cap the number of participants, and switch on Approve sign-ups to look at every sign-up before the player has a place.
From then on, every signed-in user who sends the form gets one registration for the event. Their answers stay in Nextcloud Forms. A second answer from the same account does not make a second registration, and an anonymous answer makes none.
What status a sign-up gets
- Accepted: the player has a place. Their character is added to the event's participants, so it shows on the roster, the run sheet and the check-in tab.
- Waitlisted: the event was full. The waiting list goes in the order the sign-ups arrived.
- Pending: the event asks for approval, and a game master has not decided yet.
- Declined: a game master turned the sign-up down. It takes no place.
- Cancelled: the registration was withdrawn.
Without approval, a sign-up is accepted while there is a place and waitlisted when the event is full. With approval, it stays pending until a game master opens it under Registrations and chooses Accept or Decline. Accepting gives a place when one is free and puts the player on the waiting list otherwise.
Places taken are the accepted registrations plus any characters a game master added to the event by hand. When an accepted registration is cancelled or declined, the place goes to the first one on the waiting list straight away. Two sign-ups for the last place at the same moment never both get it.
Choose your character
Open My registrations, choose your registration and pick the character you bring. You can pick one of your own active characters in the event's world; retired or dead characters, and characters of other players, are refused.
Who sees what
- Game masters see and decide every registration, and see the list on each event's page with the number of places taken and the waiting list.
- A player sees their own registrations and can change only the character.
